Role snapshot
Title: Office &amp; Operations Manager
Location: India, remote
Reports to: COO
Experience: 3+ years in office management or operations; a strong mid-level candidate with room to grow is also considered
Target start: Immediately
About the role
This is the person who makes things happen behind the scenes: when a bill goes missing, a visa needs filing or a bank process stalls, you work out who to call and see it through.
Bookkeeping admin is part of the job, and you don't need an accounting background. We'll train you on our tools. What matters most is sound judgement, clear and professional communication, and taking full ownership of a task from start to finish.
You'll work closely with the COO and keep them informed on where every open item stands, so they can hand something over and trust it will get done.
What you'll do
Administration and problem-solving
<ul>
<li>
Run banking processes from start to finish, such as opening or closing a corporate account: find the right contact, prepare every document and set up the meetings.
</li>
<li>
Prepare and file visa applications for the team, check every detail and keep backup options open until approval comes through.
</li>
<li>
Book travel and manage travel expenses.
</li>
<li>
Handle procurement: find suppliers, get quotes, place orders and follow up until delivery.
</li>
<li>
Act as the main contact for the office building, vendors and service providers.
</li>
<li>
Track every open item and send the COO regular, clear status updates.
</li>
</ul>
Bills and bookkeeping admin
<ul>
<li>
Upload bills and invoices to our accounting system on time.
</li>
<li>
Track down missing bills, and follow up with vendors by email and phone until they're resolved.
</li>
<li>
Work directly with our external accountant on account questions.
</li>
</ul>
HR admin and compliance
<ul>
<li>
Help with onboarding paperwork and other HR admin when needed.
</li>
<li>
Coordinate company compliance filings with our advisors when they come up.
</li>
</ul>
What we're looking for
Must-haves
<ul>
<li>
3+ years in office management, operations or executive administration, or a mid-level track record that shows the same ownership.
</li>
<li>
A natural problem-solver who figures out the next step without needing to be chased.
</li>
<li>
Excellent written and spoken English, with sound judgement on tone, especially in difficult or sensitive messages.
</li>
<li>
Highly organised: you track many open items at once and always know where each one stands.
</li>
<li>
Hands-on experience with Indian banks, government portals or vendor management.
</li>
<li>
Comfortable working remotely and on your own.
</li>
</ul>
Nice-to-haves
<ul>
<li>
Familiarity with accounting software (such as Netvisor) or with uploading invoices. We'll train you either way.
</li>
<li>
Exposure to HR admin, onboarding or company compliance filings.
</li>
<li>
Experience with visa applications and business travel.
</li>
<li>
Experience at an international company or with overseas leadership.
</li>
<li>
Uses AI tools to work faster without giving up judgement.
</li>
